If you're a California Republican County Central Committee, we start with ensuring that you are using the CRP provided, hosted solution IS Political. Most Central Committees should already be using it but many times their treasurers don't have the time to do the work involved in staying up-to-date with postings and such. Afterall, most are volunteers and have other jobs. That's where PCI.Vote, Inc. comes in as this IS our job. For a set monthly fee, we will assume the duties of keeping your finances current as well as filing your government mandated compliance reports accurately and on time. All we ask of you is to provide us with the monthly documentation of all your revenues and expenses including bank statements, copies of checks received and checks written. We do the rest.
So here's what we do each month:
- Review your month-end bank statements covering all of your cleared transctions.
- Post all such transactions if not already done.
- Reconcile each account register. If they don't reconcile, we don't file until they do.
- Review with the treasurer all of the aforementioned transactions as well as any checks written that have not cleared the bank as campaign compliance is based on the accrual method of accounting, i.e. when the check is written, or the contribution is received, as all such "uncleared or undeposited" transactions must be posted as well.
- Run a draft copy of the report(s) to be filed and confirm that the ending balances of the prior report match the beginning balances of the current report.
- File the reports with the resapective agencies and then forward the confirmation of such to both the treasurer and their chairman.
- Additionally, send a monthly financial report to the treasurer and chair showing all transactions for the period just reported.
