We start by getting the committee's name registered with the Secretary of State (if a California committee) by hand delivering it to them in Sacramento and walking out the same day with a valid committee ID. So here's what we do each month:
- Review the month-end bank statements covering all cleared transctions.
- Post all such transactions if not already done.
- Reconcile each account register. If they don't reconcile, we don't file until they do.
- Review with the PAC principal all of the aforementioned transactions as well as any checks written that have not cleared the bank as campaign compliance is based on the accrual method of accounting, i.e. when the check is written, or the contribution is received, as all such "uncleared or undeposited" transactions must be posted as well.
- Run a draft copy of the report(s) to be filed and confirm that the ending balances of the prior report match the beginning balances of the current report.
- Send the PAC principal a copy of the report for approval.
- File the reports with the resapective agencies and then forward the confirmation of such to both the treasurer and their chairman.
- Additionally, send a monthly financial report to PAC principal showing all transactions for the period just reported.
